ID theft goblinOctober is Identity Theft Prevention Month, but we should work on preventing it all year long. So read on and take action. And put reminders in your calendar to take action again and again.

While the Halloween goblins may be gone come November, the world still contains plenty of unsavoury characters that might be after your valuable information!

So let’s talk about how you can protect your information (and that of your clients) from bin thieves and related nasties.

Yes, we’re going to be talking about shredders and the fact that you need to pulverize sensitive information so that the bin thieves can’t get to it.

But that’s just step 3. There are other ways you need to protect yourself and your information, BEFORE it’s time to get rid of it…

1) Keep sensitive information in a safe place

While you still need the information, be sure to keep it in a safe place. This means to keep it locked up securely, whether it’s on your computer or in your file cabinet.

2) Beware of phishing

Phishing is a practice where someone tries to trick you into entering your personal information into what you THINK is a legitimate website. Except that it’s not.

Phishing attempts are becoming ever more common, and they’re getting smarter too. They’re also no longer restricted to arriving by email, but also by phone.

Basically, the rule is do NOT give out personal information in response to an email or a phone call. Tell them you’ll call back on a number you know and trust. Or go to the website that you normally do business with.

In addition, make sure any website which asks you to enter personal information is legitimate and protects your information. Look for the “https://” prefix when you are asked to enter your info.

PayPal always protects your credit card information, and most shopping cart systems do too.

3) Shred sensitive information

NOW we’re getting to the shredding step…

Once you need to get rid of excess sensitive paperwork, shred it. And when you do, be sure you shred it into small enough bits that no one can reconstruct the information.

This means you should use shredders that make confetti out of your documents, not the ones that simply cut them into long strips of paper.

How To Host a Shredding Party: Get Rid Of Paper Clutter

shredding partySpring is on the way, complete with spring cleaning rituals. And for a business, that includes getting rid of all that paper clutter tucked away in corners, closets, and at the back of file cabinets. Let’s talk about hosting a shredding party!

It’s important not to act too quickly and simply toss it into the recycling bin. Yes, saving trees is a good idea, but some of that information might be highly sensitive and you want to make sure it doesn’t fall into the wrong hands.


Simply shred it, which can also lead to recycling.

And to make sure it gets done, why not turn that chore into a fun event! Spring is a perfect time for a shredding party!

How To Host A Shredding Party

You may be able to shred quite a few documents in your own personal shredder, or the one in the office mail room, but if you have a lot of them, and your colleagues do too, a shredding party is a better idea.

Simply arrange for a shredding van to come to your place of business and have everyone feed it their confidential forms and paperwork.

So how do you turn this into a party? First, decide on who should be invited!

If your company is big, you can have a party just for your own business. If you want to expand, you can invite neighboring companies – or the entire neighborhood. After all, not just companies have sensitive information.

Next, schedule your event well in advance, probably midweek, and give your staff lots of warning. If you go outside of your own company, send out invitations, post fliers, and use both local and local media to get the word out.

How To Make The Mass Shred Fun

Finally, add the party touches. Plan for sweets, snacks, and coffee or something else to drink. Consider offering prizes for every three boxes of paper that’s fed into the shredder.

Those prizes could include special branded gift items, including pens, bags, water bottles, t-shirts, branded decorative balloons, and much more. You could also offer a prize, a big gift basket with all of the branded items and extra treats. Every bag of paper gets a chance to win the basket, and maybe a few consolation prizes.

You could also hire a local band, or a deejay, for entertaining the crowds.

What to do after the shredding party?

Of course, don’t stop there. After you’ve cleared out the backlog, why not slow down the accumulation of new clutter.

You can do it three different ways… or, best, use a combination of them.

a) Regular visits from a shredding truck

If you generate a LOT of sensitive documents that you then have to shred, you could have a shredding truck stop by on a regular basis. In the meantime, collect that info in big locked containers.

b) Use shredders regularly

You could also keep some shredders around so you can shred any sensitive information as you come across it. In fact, that’s a good idea in any event. We recommend personal shredders in individual offices, with bigger shredders in central locations.

c) Reduce the need for shredding altogether

Why not reduce your use of paper. You don’t have to print out everything, so use a bit of restraint when running your printer. It saves on ink too!

Prevent Identity Theft: How To Choose The Best Shredder For Your Office

Waste-Basket-QmL2LCIt’s October and National Identity Theft Prevention month, so it’s time to focus on protecting your own and your customers’ confidential information. After all, you don’t want to hand it over to bin thieves!

It’s good timing too! Before the busy Christmas season, you’ll want to make sure you have a system in place that protects any sensitive information that gets printed in your office.

You probably know what’s next: Shredders, and how to make sure yours is adequate or how to select the right one(s) for your office if it isn’t.

To help you prevent problems and avoid frustration with inadequate shredders, I’ve assembled a few tips to help you pick the right one.

How To Choose The Best Shredder For Your Office

Before you choose a shredder (or several), you should ask yourself these questions:

1) How much paper will you need to shred?

If you have just a few sheets a day, a personal size shredder might be adequate. Otherwise, pick a larger one. When shredder makers give you estimates of capacity, they tend to err on the generous side. If they say shredder A can handle 10 sheets at a time, deduct at least 30% and pick one with a larger capacity if you really need to shred 10 sheets at a time. You don’t want paper jams!

Also check how long a shredding session a potential shredder can handle. If you need to wait a while after every two minutes, and you have lots of paper to shred, definitely go for one with a higher capacity.

2) How confidential is the material you need to shred?

When you decide on whether to shred something or not, just think about what would happen if the material fell into the wrong hands. Would it be a disaster or would it barely matter. If it’s highly confidential material, definitely make sure the information cannot be retrieved. If it’s not quite as crucial, you can go for bigger pieces of confetti.

First of all, what about the cheapest and fastest shredders, the strip shredders? Personally, I cringe at the thought that anyone would still be using a strip shredder. Anyone halfway motivated will be able to reconstruct the documents from the strips. If it’s worth shredding, be sure to use a cross-cut shredder. The more sensitive, the smaller the resulting pieces should be.

On the other hand, consider that it takes longer to shred paper into smaller pieces. So don’t go overboard. If you need that high security level for just a few documents, get a smaller shredder that reduces those documents into small shreds, and a larger shredder for less sensitive documents that produces larger sized pieces of paper.

3) What exactly are you going to shred?

No, this isn’t a stupid question. Sure, the majority of what you’ll shred will be paper. But is it all regular paper or will there be staples, paper clips, heavy weight paper, cardboard, or even credit cards or CD-ROM’s? Be sure to assess what you really need and then check whether the shredder you plan to select will meet your needs.

Choosing The Right Shredder Type And Size For Your Office

Choosing the right shredder type and especially the right shredder size can get confusing. Here are a few things to keep in mind…

  • Get a big enough shredder to handle your shredding needs
  • Err on the side of getting more rather than less shredding power
  • Choose a confetti shredder
  • Choose smaller sized confetti for more confidential materials
  • Remember that making smaller confetti takes longer so don’t go overboard

What’s right for you and your office will greatly depend on what your paperwork looks like. If you have lots of confidential materials, you may need a lot of shredding power.

But what if you have just small amounts of REALLY confidential paper work and a larger amount of material that’s just kind of confidential and you don’t really want it to fall into the wrong hands? You may want to get a smaller size shredder (or several) to keep in the areas where you’ll need to shred that really confidential stuff. And a large shredder that creates larger confetti to keep in a central location.

That’s just an example. Details will depend on what your needs are.

What About Outsourcing Your Shredding?

You could also outsource your shredding. You can have Shredit Lorry or a similar company stop by every week (or more often) and shred all your confidential paper. That’s not a bad solution.

However, it could also be a security risk.

Be sure you know the company well and trust that your shreddables truly get destroyed beyond recognition. Also, consider who might have access to the material that’s being saved for the next shredding date.

You may want to outsource high volume but lower security shreddable materials while taking care of the really confidential stuff yourself.

The Problem With Choosing The Wrong Shredder

So what terrible things could happen if you choose the WRONG shredder?

a) If you buy a shredder with not enough capacity

If you get a shredder that cannot handle the amount of shredding that needs to be done, one of three things will happen:

First, your shredder may break or create lots of paper jams. This will result in lots of sensitive information remaining unshredded.

Second, your staff learns to be gentle with your shredder, which means that getting your paper shredded will take up lots of extra staff time. Do you really want to pay them to stand in line at the shredder and wait five minutes in between bouts of shredding?

Third, your staff gets so frustrated that they avoid shredding paper when they really should – and that too will result in lots of sensitive information sitting around, which increases the risk of it getting into the wrong hands.

b) If you buy a shredder that creates tiny little bits of confetti when it wouldn’t be necessary

Your shredder will take longer to shred things, the smaller the confetti it’s designed to make. So if you don’t need such tiny confetti, choose a model with bigger confetti size that will shred more quickly. Get an extra, smaller shredder for the truly confidential stuff and reserve it for that use.

c) If you buy a shredder that has too small a “mouth piece”…

If you get a shredder that cannot handle the kind of paper you’re trying to feed it, it will require a lot of extra work. Your staff members have to feed the paper neatly stacked, and they may even need to fold it. That takes extra time – and you will have to pay for it.
